Project Administrator/Office Manager 
📍 Location: North Acton (on-site, 5 days per week) 
📅 Start Date: Monday 17th November (initial 4 month temporary contract) 
🕗 Hours: 08:00 – 17:00

Job SummaryWe are seeking a confident, well-organised, and efficient Project Administrator to join our team in North Acton. The successful candidate will play a vital role in supporting the project team and ensuring the smooth and efficient running of the project office. This is a busy, fast-paced role where you will provide essential administrative and coordination support to directors, senior managers, and the wider team.

Key Responsibilities
  • Manage multiple diaries and inboxes on behalf of directors and senior team members.
  • Submit timecards and expenses for the Project Director and Construction Director.
  • Raise purchase orders for office supplies including stationery, PPE, and signage.
  • Coordinate meeting logistics: book rooms, arrange refreshments, create agendas, take minutes, and track actions.
  • Maintain and update project directories, circulation lists, and documentation.
  • Provide weekly reporting and prepare monthly client and contract review reports.
  • Prepare internal and external presentations.
  • Act as the first point of contact for admin and office-related queries, including IT equipment orders and stationery.
  • Manage training records for the project team, ensuring compliance and arranging external training as required.
  • Support onboarding of new starters, including HR forms, IT set-up, and induction coordination.
  • Book couriers, travel, and accommodation as required.
  • Organise internal and external events.
  • Maintain accurate records of holidays and absences.
  • Assist with preparing key project documents, SharePoint updates, and reporting tools.
  • Provide general clerical support: printing, filing, room bookings, and IT issue management.
  • Support end-of-project activities including site office closure.
About You
  • Proven experience in an administrative or project support role.
  • Highly organised with strong attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and work under pressure.
  • Strong IT skills (MS Office; SharePoint experience beneficial).
  • Proactive, adaptable, and able to work both independently and as part of a team.
