We are seeking an experienced Office Manager and Document Controller to support site administration for Sizewell C. The role is responsible for managing project information, tracking senior project meetings and actions, and ensuring compliance and programme progress. Acting as the central administrative hub, this role is critical to maintaining project control and communication standards.
Key Responsibilities
Document Control and Information Management
- Oversee incoming/outgoing drawings and project documents
- Maintain registers, revision logs, submission trackers, and EDMS/SharePoint systems
- Ensure current revisions are available at point of use
- Track all project correspondence and issue client submission packs
- Support Engineering Manager with design approvals and standards tracking
- Administer three week lookahead and weekly work plan distribution
- Schedule and track senior project meetings, recording and following up on actions
- Maintain milestone and key date trackers
- Prepare weekly project summary reports covering risks, ageing RFIs, constraints, and upcoming audits
- Maintain registers for Early Warnings and Compensation Events
- Track timesheets, plant returns, and supporting records
- Support weekly material, plant, and waste reporting
- Assist with cost data collation and commercial trackers
- Support logistics planning and bookings, liaising with procurement and suppliers
- Maintain personnel databases, site access, vehicle pass, and visitor systems
- Investigate and resolve logistics issues
- Maintain training, competency, and certification trackers
- Administer inspection records and incident/near miss registers
- Manage waste tracking and environmental documentation
- Support HSQE audits and compliance reporting
- Manage security clearance documentation and submissions
- Coordinate inductions, onboarding, and workforce compliance
- Track outstanding documentation and site access requirements
Essential
- CSCS card
- Valid driving licence
- Experience in site-based administration and document control
- EDMS experience such as ProjectWise or SharePoint
- Strong Microsoft Office skills
- Excellent written and verbal communication
- Highly organised with strong attention to detail
- Degree or HND/HNC in Business, IT, or Information Management
- Document Control certification
- Knowledge of Datascope or CEMAR
- BIM awareness
- Proactive, self motivated, and structured
- Calm under pressure and professional
- Analytical with strong attention to detail
- Collaborative with effective communication
- Committed to compliance, quality, and safety
