We're currently recruiting a Facilities Coordinator position on behalf of our client in Central London! We're looking for a candidate who has prior experience with FM clients and excellent communication skills. The ideal candidate should also have experience with CAFM/reactive ticketing systems, supplier management, and coordinating office moves/changes. 

This role has the potential to become permanent in 3-6 months subject to client's approval.  

The on-site work hours are either 7am-3:30pm or 9:30am-6pm with a 1-hour unpaid lunch break.

Main Purpose
  • Customer-facing role providing highly professional customer service.
  • Offer support and guidance to ensure that workflow is delivered effectively and safely to corporate buildings.
  • Develop a relationship built on trust with the client in addition to contributing to the development and success of the company by supporting the management team through opportunities development and operational activities.
  • Manage and Deliver the Facilities Management activities & Maintenance requirements at the corporate facility.
  • Manage and support with all contact with clients, suppliers and internal staff
  • Daily Management interface towards stakeholders and customer to ensure Service Level Agreements are met.
Main Job Responsibilities
  • Create a safety first culture, ensuring the top priority with any work is protecting the health, safety and wellbeing of everyone
  • Support in the delivery of assigned tasks / jobs in conjunction with the Helpdesk and ensure that any client or customer requirements, concerns or complaints are dealt with effectively and communicated accordingly.
  • Contractor management including site inductions, RAMS and permitting as required.
  • Manage services in line with company quality management standards
  • Promote and actively seek sustainable working processes and products
  • Contribute to, support and maintain a flexible and reliable quality FM service and ensure that satisfaction for both internal and external customers is continuously achieved and improved.
  • Be part of the comprehensive on-site FM maintenance service.
  • The role will ensure appropriate systems are used and inspection regimes followed to ensure our workplaces are fit-for-purpose and support the services in their day-to-day business.
  • The role will undertake routine inspections and provide core services such as minor maintenance, postal services, security, room set-up and porterage
  • The role will ensure that building services and equipment remain operational and provide a safe working environment for our staff, Members and visitors.
  • There will be a requirement to work as a team with FM colleagues to support and cover front of house reception if required to cover staff absence (holiday and sickness).
  • The post holder may also be required to support the team on aspects of premises health and safety and security including any necessary emergency evacuation or evacuation of the premises
  • This role has a core base location of one of four main corporate sites, however the post holder must be able to work from other sites to cover staff absence (holiday and sickness).
General responsibilities
  • Ensure the office functions effectively with a proactive approach in support of the services that support the core functions delivered on site.
  • Support the FM team to close tickets in helpdesk on a regular basis that have been assigned to you.
  • Look for new opportunities to improve processes, service levels and standards.
  • Support Health, Safety and Quality related near miss / accident / incident investigations
  • Support any local requests for moves/adds and/or changes. Some evening and weekend working may also be required.
  • To act on their own initiative and make decisions on a day-to-day basis as agreed with their manager.
  • Perform other reasonable tasks and duties requested by line management.
